Programme Operations Associate - Middle East and North Africa Programme (MENA)

24-months fixed-term contract

Competitive salary + excellent benefits

Amman, Jordan

Do you want to help make the world a better place with your background in administration and data management? We are seeking a Programme Operations Associate, for a period of 24 months, to be based in Amman. As Programme Operations Associate, you will perform a wide range of responsibilities that materially advance portfolio strategies to support the work and aspirations of the region’s civil society.

The Open Society Foundations (OSF) work to build vibrant and inclusive democracies whose governments are accountable and open to the participation of all people. We are active in more than 120 countries, making us the world’s largest private funder of independent groups working for justice, democratic governance, and human rights.

The Middle East and North Africa Programme is based in Amman, Jordan and Tunis, Tunisia with some staff based in OSF hub offices. The MENA Programme supports a diverse group of civil society organisations, research centres, universities, and media organisations across the region.

As a Programme Operations Associate at Open Society, you will:

· Provide sophisticated administrative support for grant making activities and other programme functions, such as assisting in the review of proposals, reports, and other documents for compliance, and following up with grantees to maintain contractual records;

· Collaborate with programme staff in data review and visualisation, including editing drafts and compiling and presenting information in an accessible way;

· Assist with processing grants, including setting up records, soliciting necessary documentation, and updating partner information, as well as identifying and implementing grants-management and online application troubleshooting;

· Conduct desk research and compile background information on organisations and/or fields of support; gather preliminary data for organisational assessments, such as basic analysis of budgets and audit reports;

· Develop an efficient workflow using information management systems, tools, and templates to maintain the unit's budgets, supervise work plan progress, monitor overdue reports and payments, and process contracts and consultancy agreements;

· Provide operational and logistics support to team members in coordinating events, organising site visits, and planning convenings, which may include managing reservations and bookings, scheduling meetings, and maintaining team calendars.

What we are looking for:

· One to three years’ experience of progressively complex administrative/operational experience in civil society projects, preferably in project administration;

· Knowledge and interest in one or more substantive areas such as human rights, arts and culture, media, civic engagement, and/or government relations;

· Demonstrable experience with meeting logistics and organisation, as well as experience working with budgets and creating/managing Excel spreadsheets;

· Proven research skills and an ability to compile, organize, and analyse data;

· Strong written and verbal communications skills in English and Arabic;

· Integrity; an ability to handle confidential matters with sensitivity and discretion, balance competing priorities, and work independently;

· Commitment to continuous learning and growth in the areas of diversity, equity, inclusion, antiracism and social justice;

· Commitment to listening and working with humility; ways of working that are respectful to all people; and that support space and voice for all diverse perspectives in our workplace.

Desirable (but not essential):

· Demonstrable project management experience;

· Familiarity with written and spoken French.

What we offer:

· Ample opportunities to learn and grow, from annual professional development allowances to onsite trainings and brown bag lunches with visiting experts.

· Top-notch benefits and perks designed for your well-being and a healthy work-life balance. With some variability according to location, this includes generous time off, flexible work arrangements, employer-paid health insurance, generous retirement savings plan, progressive paid parental leave, reproductive and family planning support, sabbatical opportunities, and much more.

· A commitment to creating a diverse and inclusive workplace that enables everyone to bring their full self to work and make a positive impact on the world.
