FUNCTIONS AND RESPONSIBILITIES

GENERAL FUNCTIONS

The Operations Officer oversees and direct daily operations and is in charge of the administrative processes. The Operations Officer supervises the activities of the project in its branch and contribute to implement activities to identified communities and households.

SPECIFIC FUNCTIONS

The Operations Officer is in-charge of various duties and responsibilities for the project.

Area Development:

· Represents the project with local officials and authorities;

· Assess the possibility to work in the area, research and connect with local barangay leaders, research active NGOs/local partners/associations;

· Supervise area assessment through ocular visits and focus group discussions with the help of the Field Officers;

· Conduct community meetings to demonstrate EdM – ATE Co services;

· Identify new customer in collaboration with Field Officers, monitors the prospect data follow-up and the schedule of installation

· Coordinate the workplan of the field officers in charge of prospection

· Build strong relationships with customers, local government and other project stakeholders;

· Work closely with the Training Manager to align messaging, expansion, schedules;

· Assist the conceptualization of all marketing-related tools;

· Analyze surveys and area assessment checklists to identify appropriate RE products offer and financing schemes;

· Supervise satisfaction surveys;

Supply Chain Management:

· Supervise the stock management of the branch

· Assists in the supervision of project administrative/operations staff to ensure timely delivery of the necessary inputs and logistics support consistent with the planned project work plans, detailed field activity plans and procurement plans;

· Raise purchase and procurement needs of the branch in coordination with the Finance and Admin Officer;

· Receives delivery of equipment needed for the project implementation and releases requested parts, equipment, solar kits and other necessary materials needed by field staff;

· Maintain a database of suppliers needed for the operations i.e. transportation such as car service providers, tricycle drivers, single motorcycle drivers, laborers, etc.

Operations Management:

· Assist the Operations Manager to formulate work plans and schedules

· Attend regular meetings and report on accomplishments and progress of the branch; implements the workplan of the branch and is in-charge of the execution of the workplan in the assigned area;

· Manage the Field Officer of the assigned areas on a daily basis;

· Submit weekly monthly reports to the Operations Manager;

· Reports area assessment results to the Operations Manager

· Assist the Operations Manager in the preparation of project progress, monthly reports and final reports;

· Monitoring and analysis of the operating environment, timely readjustment of the operations, inform the Operations Manager on legal considerations and risk assessment.

Office Administration:

· Provide assistance for necessary arrangements for incoming and outgoing visitors (including procurement, monitoring and backstopping visits from Manila Office and possible donor and partner visits)

· Coordinate meetings, trainings, workshops and travel arrangements as needed.

REQUIREMENTS

· English and Tagalog written and spoken

· Strong experience in similar community-based fieldwork

· Project management and basic management skills

· Experience in Sales

· Self-motivation and ability to work as part of a team

· Professionalism and trustworthiness

· Valid license (car and motor)

· Flexibility
