The Position: The International Center for Tropical Agriculture (CIAT; http://www.ciat.cgiar.org) seeks to recruit an Assistant Accountant to provide accounting, administrative support and facilitate office management to CIAT which is based in Addis Ababa located at the International Livestock Research Institute (ILRI) campus.

General: CIAT is one of the 15 non-profit centers that are members of the CGIAR Consortium. This global research partnership operates primarily through CGIAR Research Programs, CRPs, which are designed to deliver tangible benefits for the rural poor on a large scale. Within this framework, CIAT participates actively in the CGIAR Water, Land and Ecosystems (WLE) Research Program, to which the ”technical Advisor” position is connected (www.pim.cgiar.org).

Main Responsibilities:

• Does basic secretarial duties such as typing, word processing, filing, handling incoming and outgoing communications, receiving and assisting the section’s visitors and taking and receiving telephone calls; liaises with other offices to follow-up issues;
• Checks appropriateness of payment supporting documents; checks the availability of funds before effective payment;
• Records the daily transactions in the financial registers of all projects in excel template;
• Ensures the full recording and follow up of transactions in USD and Birr;
• Reports the Imprest reconciliation statements to the HQ;
• Accomplishes monthly cash position report and submit to the project managers and HQ;
• From time to time undertakes a reconciliation of receipts based on the budget items;
• Handles the petty cash and enters the data in excel template to be recorded and does fund reserve to ensure that funds are available for a specific project before any payment are made;
• Tags or Marks fixed assets upon receipts of the fixed assets purchased and before deploying the assets in a fixed asset register;
• Facilitates annual internal audit requirements;
• Performs other duty as required by the office Head;
• Coordinates purchase/ requisition and distribution of office furniture, equipment, stationery, and other office supplies;
• Drafts routine correspondences, email and memoranda;
• Types routine activities and occasionally mission and progress reports;
• Sorts and files documents following standard procedures for ease of access when needed;
• Assists in making travel arrangements for the Liaison Officer and the departmental staff. Also facilitates Hostel booking and flight confirmation for visitors;
• Assists in workshop organization and implementation; travel arrangements, organizing workshop materials;
• Performs any other related work as assigned by supervisor.

Minimum Requirements:
Education:
• Diploma/BA in Accounting and/or management

Experience:
• At least 2 years of relevant work experience

Skill:
• Office management and secretarial skills
• Interpersonal skills.
• Communication skills
• Computer operations skills, like Word processing, Excel and accessing emails.
• Filing and organization skills

Position level: 2A
Duty Station: Addis Ababa, Ethiopia

Minimum Base salary:
• Birr 12,012 per month (Negotiable depending on experience, skill and salary history of the candidate)
Terms of appointment: Initial appointment is for two years renewable appointment based on performance and funding availability.
