Scope of Work

To provide administrative support and guidance on HCM activities/issues to Mayday Rescue staff in all duty stations.

To provide required administrative support to Syria Civil Defence HR as per HCM manager guidance.

Tasks and Activities:

HCM Strategy:

  • Support HCM manager in rolling-out HCM strategy.

  • Ensure effective implementation and adherence to HCM policies and operational procedures.

  • Participate in review HCM policies and producers, and make recommendations.

People planning, Recruitment, and staff on-boarding:

  • Assist HCM manager in implementation of an effective recruitment cycle, including (vacancies announcements, CVs screening, liaise with candidates, timely conducting of technical tests, interviews, and reference checks, etc..).

  • Ensure all required documentation is in place as per recruitment SOPs.

  • Liaise conducting an effective onboarding process for new hires including (Orientation plan, welcoming pack, new hire’s check list, etc.).

Performance Appraisal Management:

  • Follow up performance appraisals with all staff, ensure this is done in a timely and professional manner.

People Training and Development:

  • Assist in identifying organizational training needs.

  • Follow up training plan implementation and training evaluation.

  • Maintain all related documents.

People Retention and Engagement:

  • Actively support and follow up staff interaction with annual staff satisfaction surveys.

HR Database & Contract Management:

  • Manage and follow up on Mayday staff contracts, and contracts renewal.

  • Liaise with the legal focal point to ensure staff compliance.

  • Act as HCM system database administrator ensure accurate information and required updates.

  • Manage CV pool and database.

  • Update and maintain HCM personnel files, and provide statistical information and reports when necessary.

Follow up staff exit required procedures and documents.

Outputs: - To ensure effective implementation of HCM strategies, and that all Mayday Rescue staff are aligned with HCM policies and procedures.To ensure SCD HR administrative HR requirements are managed effectively.

Required qualifications

Education:

  • Required: Completion of secondary education supplemented by administrative and/or HR management training.

  • Desirable: University degree in business administration, social sciences or related field.

Experience:

  • Required: Minimum 3 years of relevant experience, at least 2 years in HR position.

  • Desirable: Related experience in NGOs.

Languages:

  • Required: Very good English and Arabic.

IT Skills:

  • Required: Very good knowledge of Microsoft application.

  • Desirable: previous experience in HR applications.
