How can you make a difference?

Manage the PCA Secretariat

  • Attends technical review meetings; prepares notes and undertakes advance and follow-up actions related to processing of partnership agreement documents.
  • Organizes data and information, prepares and maintains records and files for original agreement documents.
  • Control schedules/plans for the tracking/monitoring of partnership agreement documents including the standard coding of all partnership agreement documents.
  • Maintains quality checklists and scrutinizes programme PCA submissions to the PCA Review Committee.
  • Maintains a centralized matrix of programme and financial data on partnership agreements and submits necessary updates and reports for informing programme teams and key office committees.
  • Responsible for all auditable documents in the custody of the PCA Secretariat.

Support the HACT Manager in HACT management

  • Liaise with Sections to organize spot checks/audits as per the HACT Assurance plan.
  • Follow up with Sections to ensure timely implementation of planned programe visits.
  • Manage partnership/HACT related electronic platform such as eTools
  • Assist in analyzing HACT related quality assurance reports and advising the supervisor on areas of concern.
  • Maintain up to date records of all HACT related data in the office, ensuring easy access by staff members.
  • Periodically conduct spot checks and provide follow up reports
  • Assist the HACT Manager in daily interaction with the HACT LTA Company.

Summary of key functions/accountabilities:

  • Attends technical review meetings; prepares notes and undertakes advance and follow-up actions related to processing of partnership agreement documents. Organizes data and information, prepares and maintains records and files for original agreement documents. Tracking of actions and keep documents for all PCA, PP, SSFA, contracts and other program activities.
  • Maintains control schedules/plans for the chronological tracking/ monitoring of partnership agreement documents including the standard coding of all partnership agreement documents. Maintains consolidated quality checklist and scrutinizes programme PCA submissions to the PCA Review Committee.
  • Manage electronic partnership/HACT related data such as eTools and regularly provide relevant information and training to staff members.
  • Maintains a centralized matrix of programme and financial data on partnership agreements and submits necessary updates and reports for informing programme teams and key office committees. Responsible for all auditable documents in the custody of the PCA Secretariat.
  • Assist the HACT Manager in maintaining an activity tracking system to generate monthly updates on status of scheduled assurance activity for informing programme teams and key office committees. Contributes to the preparation of submissions to the OIAI by providing information, preparing tables and drafting relatively routine sections.
  • Conduct periodic spot checks of partners and prepare follow up reports for the HACT Manager on Micro Assessments, spot checks and audits.
  • Follow up with Sections on ensuring timely implementation of planned programme visits.
  • Perform any other tasks assigned by the HACT Manager

To qualify as an advocate for every child you will have…

Education: Completion of secondary education, preferably supplemented by technical or university courses in finance and other field related to the work of the organization. A first degree in Accounting or Business Administration will be an added advantage.

Experience: Seven years of progressively responsible clerical or administrative work, of which at least one year is closely related to support of programme activities.

Language requirements: Fluency in English required
