Purpose of the job

Under the direct supervision of the Administrative Officer,theSenior Administrative Assistantprovides administrative management support services (specifically Protocol Services) to Jordan Country Office and Regional Office staff. The incumbent assists in ensuring efficient and cost effective administrative support services (protocol and other services), providing guidance to staff as well as supporting staff in protocol and related administrative assignments. The incumbent ensures the office’s administrative operations and services are in compliance with the organization's administrative policy, procedures, rules and regulations.

How can you make a difference?

  • Prepares documentations for the issuance/renewal of residency permits, diplomatic and tax exemption cards, airport passes and any other government formality in accordance with UNICEF and Government requirements. Maintain a control monitoring system to ensure close follow up and timely issuance of permits, etc.
  • Maintain updated record of facts on living conditions and special entitlements. Assist staff members and their dependents by processing requests for visas, identity cards, drivers’ licenses and other necessary personnel-related documents.
  • Briefs international personnel on general administrative matters relating to visas, licenses, security; provides advice and ensures administrative support, as required.
  • Provides interpretation of UNICEF & Government administrative rules, regulations and procedures related to protocol. Draft correspondence, memoranda and reports, maintain Protocol filing system. Translate all protocol related forms, letters and NVs (from English to Arabic and Vice Versa)
  • Prepares, on own initiative, correspondence, reports, evaluations and justifications, as required, on general administrative or specialized tasks which may be of a confidential nature within the assigned area of responsibility.
  • In addition to general protocol responsibilities, prepares documentation and obtain visa for official travel of staff, consultants and Government officials for the RO, CO.
  • Performs other duties, as required.

To qualify as an advocate for every child you will have…

  • Completion of Secondary School, preferably in combination with University level courses in administration or any other related field of discipline relevant to the job isrequired.
  • Seven years of progressively responsible clerical and administrative work. Work experience in protocol administration is an asset.
  • Workingknowledge ofArabic & English is required.
